How I Build Lifecycle Systems
Four phases: audit your current setup, map and write the key sequences, build the automation in your tool, then hand off with reporting so your team can manage. Most engagements start with an audit because you need to know what sequences matter most before building everything.
Phase 1: Audit & Segmentation Map
Review your current email and CRM setup. What lists do you have? What sequences are running (if any)? How are leads and customers segmented? This phase includes a journey map for key stages (new lead, demo request, new customer, at-risk customer), segmentation plan (who gets which emails), and a priority list of which flows to build first based on impact.
Typical duration is one to two weeks. You'll get a written plan showing what to build and in what order.
Phase 2: Flow Design & Email Writing
Based on the audit, I design the sequences. That means mapping the trigger (what action starts the flow), email timing (day 1, day 3, day 7), and message content for each step. For the first three to five sequences, I write the full email copy including subject lines, body text, and calls to action.
The deliverable is a documented flow for each sequence, ready to build in your email or CRM tool.
Phase 3: Build & Automation Setup
Once flows are designed, I build them in your platform. That includes setting up automation rules, segmentation tags, and testing to make sure emails send at the right time to the right people. This phase also covers tracking setup so you can measure open rates, clicks, and conversions for each sequence.
Most builds take two to four weeks depending on how many sequences and your tool's complexity. By the end, sequences are live and running automatically.
Phase 4: Handoff & Reporting
After sequences launch, I hand off with a reporting dashboard so you can see what's working. That includes performance metrics (open rate, click rate, conversion rate by sequence), documentation on how to edit emails or add new sequences, and recommendations for what to build next as your list grows.
Some clients stay on quarterly check-ins to review performance and plan new campaigns. Others run independently after handoff and call when they need something new.

A professional services firm was generating leads from LinkedIn ads but had no nurture system. Leads would download a guide, get added to a generic newsletter, and go cold. Sales said they couldn't keep up with manual outreach to every lead.
